Privacy notice in the widget and on the website
Display the privacy policy in the widget and add it to the website
With moinAI, a privacy notice can optionally be displayed before the chatbot is used, at the start of a conversation, or before a human takeover. A confirmation can also be requested. Whether such a notice is required depends on the classification under data protection law. Some companies supplement their website’s privacy policy with a notice regarding the use of the chatbot. The moinAI website contains general information on data protection topics and details on GDPR compliance in the Help Centre. All details are set out in the DPA (Data Processing Agreement) that companies enter into with moinAI.
1. In the widget
The privacy notice can be displayed in the widget before use and during use (recommended).
Before use
| To obtain consent to the processing of personal data before the chatbot is used, a splash screen can be activated in the moinAI Hub via the path Widget & Teaser > Widget Settings; this appears the first time the widget is used. For this start screen, you can enter a greeting, a title, text and links. You can also customise the label on the consent button. Start screen of the chat widget with a greeting and a consent button for the privacy policy. |

A privacy notice on the home screen should only be displayed if it is strictly necessary following a data protection review. As the home screen presents an additional barrier to interaction, it may reduce the chatbot’s usage rate.
During use (recommended)
To include a notice directly within the chat history, a button with a title and a link to the privacy policy is added. This is done in the welcome message or at the start of forms.

2. On the website
moinAI cannot provide legal advice or binding recommendations regarding the wording of an addendum to the privacy policy. Examples of privacy policies containing references to chatbots can be found by carrying out a targeted Google search for ‘privacy policies for chatbots’. However, some of these results relate to Facebook Messenger chatbots, the integration of which into the privacy policy is more extensive.
